Purpose of the position: To assist the Project Manager by developing and tracking all required contract documents, ensuring that the Project Manager is aware of all situations on his project. Tracking documents by company policy and standards providing all required information is accurate and complete


Responsibilities include but are not limited to:

  • Participate in an Orientation/Training period for Timberline Estimating and Timberline Accounting programs.
  • Attend “Project Turnover Meetings."
  • Organize job startup information obtained from the Turn-Over meeting or as directed by the Project Manager. Assist the PM/Superintendent with any other startup items as directed.
  • Obtain Project Notice of Commencement or Owner Information and ensure there are complete copies of the Letter of Intent, Contracts, and Estimates for the assigned project.
  • Organize and setup onsite project receipt file for delivery tickets. Assist in coordinating all deliveries as necessary.
  • Generate and send e-mails, letters, Submittals, RFI's, Purchase Orders, Sub-Subcontracts, Change Requests and budget changes as directed by the Project Manager.
  • Maintain & Track Submittal, Change Order and RFI logs as needed.
  • Follow up with the Project Manager on all open issues about the project. Attend meetings with or as directed by the PM.
  • Scrub drawings ensuring the latest revisions are available to the production team. Maintain drawing log.
  • Assist the PM regarding purchases and coding of invoices. Be familiar with the project's job cost summary report.
  • Obtain and file copies of the Project Daily Report, Tool Box Safety talks and other related training in the Project folder on the server.
  • Coordinate housing, furniture and utility setup on Projects out of town.
  • Assist the PM/Superintendent with coordinating all workers' comp injury processes including a return to work program, forwarding documents to the Safety Director and HR.
  • Other duties as assigned


Job Requirements

Knowledge, Skills, and Abilities: 3 years of concrete construction experience. Understanding of construction documentation flow, general understanding of the construction and tilt-up industries are helpful.

  • Need capability and experience in reading blueprints and knowledge of CAD.
  • Must be well organized, able to manage time wisely and complete all tasks promptly.
  • A self-starter that is detail oriented with the ability to complete multiple tasks with consistency and accuracy.
  • Exceptional follow-up skills are required, and the candidate should possess the ability to adapt to change.
  • Communication skills include verbal as well as written. Daily use of phone, fax, and e-mail is required.
  • PC skills:
  • MS Word, Excel, Outlook, the internet. Familiarity with menu driven software such as Timberline Accounting/Project Management.
  • The capability to think ahead, identify and resolve potential problems is a must along with the ability to learn quickly.
